We are seeking a dynamic and highly organized Administrative Assistant to join our Property Management team!  This vital role offers an exciting opportunity to support daily office operations, streamline administrative processes, and enhance overall office efficiency. The ideal candidate will bring integrity, steadiness, excellent communication skills, dependable and a proactive attitude to ensure smooth functioning across all departments. Responsibilities

  • Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Handle calendar management and scheduling for team members, ensuring efficient time management
  • Perform data entry, filing, and document proofreading to maintain accurate records and organized files
  • Utilize Appfolio, Microsoft Office Suite and Google Workspace tools for creating reports, presentations, and correspondence
  • Provide customer service and support by addressing inquiries promptly and professionally, both in person and via phone or email
  • Assist with office management tasks such as supply ordering
  • Assist Property Manager with renewal and move in document preparation

Requirements:

Qualifications

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Prior experience working at a front desk or as a receptionist in property management, medical or dental settings is highly desirable
  • Bilingual abilities are a plus to effectively communicating with diverse clients and team members
  • Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment
  • Demonstrated time management skills to handle multiple responsibilities seamlessly
  • Experience with bookkeeping software such as QuickBooks is preferred but not required
  • Exceptional customer service skills coupled with professional phone etiquette and proofreading abilities
  • Manage multiple email accounts
  • Share-point and Calendar expertise appreciated

 

 

Compensation:

6 months paid training will be provided: at end of training, pay will be increased.
