Description:

MAIN OBJECTIVE:

The Director of Property Management will essentially be responsible for the entire property management division of Lux Home Group at Keller Williams Realty Phoenix, including all aspects of managing our current properties as well as increasing our property count. 

The person in this position is a self-starter who wants to be given an opportunity to grow and run a division, who reports directly to the president of the company. This person enjoys “building” and putting the pieces in place. They will have exceptional customer service skills, are confident when speaking, are self-starting and like to take control once they know what they are doing. This person will make quick decisions when certain of their answers and doesn’t like waiting on other people for answers. 

This position is a leadership role where the person will be in charge of various vendors and will eventually be growing the team to leverage some, or all, of the aspects of the division (processing repairs, leasing/property showings). 

RESPONSIBILITIES:

  • Leasing
    • Inform and educating tenants on their lease terms and responsibilities
    • Assist with administering tenant occupancy including providing the new tenant with an introduction letter regarding emergency contacts, insurance requirements, rent collection procedures and maintenance request procedures,
    • Move Out/Move In Inspections/Walk Through
    • Repairs Needed
    • Quick turns with cleaning, handyman and carpet cleaning, if needed. 
    • Vacancies posted 60 days prior to date available. 
    • Vacancies leased within 30 days MAX of former tenant move out. 
    • Paying co-broke commission
  • Maintenance
    • Respond to tenant requests/problems in a timely and courteous manner and generate work orders directed to vendors or maintenance staff.
    • Determine validity
    • Confirming work completed
    • Follow-up with the tenant to ensure satisfactory resolution of the issue.
    • Conduct periodic inspections of the property and tenant spaces to ensure compliance with leases and the proper upkeep of the property.
    • Paying invoice

    • Must be able to work with home warranties
    • Communicate with owners and tenants

  • Collecting rent
    • Charging late fees/removing late fees for small balances. 
    • Ensuring all rent is paid by no later than the 5th of each month. 
    • Issuing 5 day notices on the 6th of the month and proceeding with eviction if rent is not paid by the 20th of the month. 
  • Processing HOA/City violations 
    • Charging tenant fee for notice – waivers in case by case. 
    • Notifying tenant of issue. 
    • Confirming tenant knows of issue
    • Confirming issue has been resolved. 
  • Increasing number of units managed. 
    • Craigslist
    • Expired listings
    • Referrals from other agents
    • Referral sites
    • PPC
  • Database Management
    • Build and maintain the team’s database of clients, vendors and business associates
    • Ensure that property and lease files are properly maintained and kept up to date in accordance with company policy.
    • Coordinate entry of all property information into the software program and establish reporting protocols for maintenance requests, preventative maintenance, vendor and tenant Certificates of Insurance and Lease/Property Management Agreement date tracking.
    • Monitor all key dates and reporting within our management system (AppFolio).
    • Establish written Property Management Operations Manual, Preventative Maintenance Policies and Procedures.
  • Financial Systems Management 
    • Reviewing financial statements and ensuring they are correct. 
    • Reconciliations which are due to DB on or before the 7th of the month for the month prior. 
    • Reviewing tenant and owner statements 
    • Tenant/owner balances are accurate
    • Disbursements made are accurate
    • Disbursements on or before the 15th and again on the 1st of the month for the month prior. 
    • Invoices paid timely
    • Owner contributions may be needed. 
    • Investigate cost reduction opportunities.
  • Client/Vendor Relations
    • Deliver legendary customer service to our clients, vendors and business associates.
    • Set a standard for timely customer service
    • Hold team accountable for delivering.
    • Customer service orientated and be able to provide the highest level of service to all of our tenants, owners and vendors
    • Must be able to record detailed notes in property management software
  • Management Responsibilities
    • Responsible for hiring, training, consulting and accountability of all Property Management team members. 
    • Be a team player       
    • Flexible in taking on additional job duties as they come up
    • Responsible for the overall performance and development of our property management division

  • This position is in office (Tempe, Arizona) and in the field.

Requirements:

REQUIRED SKILLS/EXPERIENCE:

  • Must be able to handle a high stress work environment
  • Strong written and verbal communication skills
  • Exceptional organizational and project management abilities
  • Great ability to focus while managing and large workload of multiple deadlines
  • Ability to thrive in a dynamic, fast-changing, growth environment
  • Minimum of 2 years Real Estate/Property Management experience
  • Arizona Real Estate license (attainable within thirty (30) days of hire)
  • Well-organized, service-minded with good interpersonal skills
  • Disciplined about time
  • Understand and adhere to local, state and federal laws regarding real estate services
  • Possess a high energy, strong desire to achieve top results with a charismatic, positive “can-do” attitude over the phone and in person
  • Must be available Weekends
  • Strong English skills required, Spanish not required but encouraged
